1. About this policy

This Privacy Policy explains how Long Yunsheng Industrial Co., Limited collects, uses, stores, shares and protects information when you visit our website, send an enquiry, request a quotation, place an order or otherwise interact with our press floor in Kwun Tong. It is written in plain English so that a customer, supplier or applicant can understand what happens to information without needing a legal background.

The policy applies to our website at www.longyunsheng.autos and to the everyday business activity that surrounds it. It does not apply to websites operated by other companies, even where we link to them. We have tried to keep the document complete and specific rather than vague, because a privacy policy that says little is of little use to the person reading it.

Our business is metal stamping and bracket fabrication for integrated systems, and much of the information we hold is ordinary commercial information: drawings, quantities, contact names, delivery addresses and correspondence about schedules. Some of it is personal information, and that is what this policy is mainly about.

2. Who we are and how to reach us

The website and the business activity described here are operated by Long Yunsheng Industrial Co., Limited. The developer responsible for this site is LongYunSheng, who maintains the public pages and the enquiry handling process together with the small team on the press floor. When this policy says we, us or our, it means Long Yunsheng Industrial Co., Limited acting through the people who run the floor.

Our registered place of business is Rm 232 2/F Secure House, 68 How Ming St, Kwun Tong, Hong Kong - 999077, Hong Kong (HK). You can reach us by email at orders@longyunsheng.autos or by telephone at +13374549685. Written enquiries may also be sent to the postal address above. If you are unsure who to contact about a particular matter, use the email address and your message will be routed to the right person.

3. Scope of this policy

This policy covers information about individuals. It covers customers, prospective customers, suppliers, couriers, professional advisers and applicants who send us a curriculum vitae. It also covers visitors to the website, whether they browse anonymously or send an enquiry through the contact form.

It does not cover information about companies as such, although company records often include the name and contact details of an individual working for that company. Where a business contact is an individual, the protections in this policy apply to that person in the ordinary way.

We do not deliberately collect sensitive categories of information such as health data, biometric data or information about political opinions. If such information reaches us incidentally, for example in an unsolicited document, we will not use it for any purpose and will delete it when we become aware of it.

4. Information we collect

We collect information in three broad ways: information you give us directly, information generated when you use the website, and information supplied by third parties in the ordinary course of business. Each is described below.

Information you give us

  • Your name, job title and the company you work for.
  • Your email address, telephone number and any postal or delivery address you provide.
  • The content of enquiries, requests for quotation and correspondence, including the drawings, specifications and quantities you attach.
  • Order details, purchase order references and invoicing information where relevant.
  • Any preferences you express about how we contact you.

Information generated by your use of the site

When a browser requests a page from our server, the server records basic technical information such as the request time, the page requested, the referring page and a general indication of the browser type. This information is used to keep the site working and to understand which pages are read. It is described in more detail in the section on technical information and server logs.

Information from third parties

We may receive contact details from a colleague of yours who introduces you to us, from a courier who needs to confirm a delivery, or from a supplier who names a representative for a project. Where that happens, we treat the information in the same way as information you give us directly.

5. Enquiries, quotations and project files

The bulk of the personal information we hold comes from enquiries and quotations. A typical enquiry includes a name and email address, a drawing or a description of a part, a quantity and a required date. We keep that material so that we can answer the enquiry, prepare a quotation and, if the job proceeds, run the work on the floor.

Project files are kept with the die and the setup record. This is a practical arrangement: when a customer returns six months later for a second run, the drawing, the material notes and the first article readings are in the same place. A project file may therefore contain the names of the people who sent it, the dates of correspondence and the notes made by the floor during setup and inspection.

We ask that you do not send personal information that is not needed for the enquiry. Drawings and specifications occasionally include the name of an engineer or a project manager, which is fine, but there is no reason to send identity documents, financial records or personal correspondence. If you do send something of that kind by mistake, tell us and we will remove it.

6. Technical information and server logs

Our web server records standard request information whenever a page is loaded. This usually includes the date and time of the request, the address of the page requested, the address of the previous page where the browser supplies it, the browser and operating system family, and the network address from which the request originated. The records help us detect faults, block abusive traffic and confirm that pages load correctly.

These logs are not used to build profiles of individuals. We do not attempt to identify a visitor from a log entry unless there is a security incident that requires investigation, for example a sustained attempt to disrupt the site. Log entries are kept for a limited period and then discarded in the ordinary course of server maintenance.

The website does not use analytics services that track visitors across other websites, and we do not embed advertising pixels. If that changes, this policy will be updated before the change takes effect, and the change will be described in the section on changes to this policy.

7. Cookies and similar technologies

A cookie is a small file that a website may place on a device to remember something between visits. This site is designed to work without cookies for ordinary browsing. If any are set, they fall into the strictly necessary category, for example a short lived record that keeps a form submission from being repeated when a page is refreshed.

We do not use cookies for advertising, cross site tracking or profiling. You can block or delete cookies through the settings of your browser without losing access to the content of this site. Blocking cookies may affect a small number of interactive features, but every page remains readable.

Where a link on this site leads to another service, that service may set its own cookies under its own policy. We do not control those cookies and recommend that you read the relevant policy before using the service.

8. How we use information

We use personal information for a limited set of purposes that relate directly to running a stamping business. In summary, we use it to respond to enquiries, prepare quotations, run jobs, arrange delivery, issue invoices, keep records and maintain the security of the site and the floor.

  • To answer an enquiry and to ask any clarifying questions needed to quote accurately.
  • To prepare and send a quotation, and to follow up on a quotation that has not been answered.
  • To set up a die, run a batch, finish parts and prepare kitting packs according to the specification you supply.
  • To arrange delivery or collection and to confirm that a carton reached the right place.
  • To keep commercial records such as orders, invoices and delivery notes as required for accounting and tax purposes.
  • To manage supplier relationships, including the couriers and finishing partners who support the floor.
  • To protect the site and the business against fraud, misuse and security incidents.
  • To comply with legal obligations that apply to a business operating in Hong Kong.

We do not sell personal information. We do not rent contact lists. We do not use project drawings or customer names in public marketing material without permission.

9. Lawful bases for processing

Where data protection law requires us to identify a lawful basis, we rely on the following. For enquiries and quotations, the basis is the steps needed to enter into a contract at your request. For the performance of an order, the basis is the contract itself. For record keeping, invoicing and tax, the basis is a legal obligation. For site security and the prevention of misuse, the basis is our legitimate interest in protecting the business and its customers.

Where we rely on legitimate interests, we consider whether the processing is necessary, whether it is proportionate and whether it affects your rights in a way that would make it unfair. We keep that assessment under review and will stop a processing activity if it no longer meets the test.

Where we ask for consent, for example before adding a contact to an occasional project update, you may withdraw that consent at any time by writing to orders@longyunsheng.autos. Withdrawal does not affect processing carried out before the withdrawal, and it does not affect processing that relies on another basis, such as the performance of an order already placed.

10. Sharing and disclosure

We share personal information only where there is a clear reason and only to the extent needed for that reason. The main recipients are the couriers who deliver cartons, the finishing partners who support a particular coating routine, our accountant and, where required, a public authority acting within its powers.

We do not disclose customer drawings to other customers. We do not disclose contact details for marketing purposes. If a request for information comes from a third party who is not a public authority, we will normally ask you before responding unless the law requires us to act without asking.

In the event that the business is reorganised, transferred or merged, information may form part of the records transferred to a successor. Any successor would be required to handle the information in a way that is consistent with this policy, and we would notify affected contacts where the law requires it.

11. Suppliers, couriers and finishing partners

A stamping floor depends on a small network of partners. Couriers need a delivery address and a contact name. Finishing partners may need to know the material and the required coating, and occasionally the part reference, so that the right routine is applied. In each case we share the minimum needed to complete the task.

Where a partner handles personal information on our behalf, we expect them to protect it and to use it only for the task we have asked them to perform. This expectation is set out in our commercial arrangements and is reviewed when a partner is first engaged and when the arrangement changes.

Our website is served by a hosting provider that processes technical request information as part of delivering pages. The provider does not receive the content of your enquiries unless you send them by email, and it is not permitted to use request information for its own marketing.

12. International transfers

Our business is based in Hong Kong, and information is normally held there. Some service providers, such as email and hosting providers, may store data in other jurisdictions as part of their infrastructure. Where information is transferred outside Hong Kong, we take reasonable steps to ensure that it remains protected to a standard consistent with this policy.

If you are contacting us from another country, the information you send will be processed in Hong Kong. By sending an enquiry you understand that this transfer is necessary to answer it. If you would prefer not to transfer the information, you can still ask a general question by telephone without providing personal details.

13. How long we keep information

We keep information only for as long as there is a reason to keep it. Enquiries that do not lead to an order are generally deleted within two years, unless a follow up is expected or a legal obligation requires a longer period. Quotations and project files are kept for as long as the die remains on our rack, because a repeat run depends on the records being available.

Commercial records such as invoices and delivery notes are kept for the period required by accounting and tax rules, which is currently several years after the end of the relevant financial year. Server logs are kept for a shorter period and are discarded as part of routine maintenance.

When information is no longer needed, it is deleted or anonymised. Where deletion is not immediately possible because a record exists in a backup, the record is removed from active systems and will be removed from the backup when the backup cycle completes.

14. Security of information

We take the protection of information seriously, but we also describe it honestly. Our floor is a small operation, and our security measures are proportionate to the information we hold. Access to project files and correspondence is limited to the people who need it to answer an enquiry or run a job.

The website is served over an encrypted connection. Emails are stored in accounts protected by strong passwords, and administrative access is restricted. Paper records such as delivery notes are kept in the office area and are not left on the floor where they could be read by visitors.

No system is completely secure. If we become aware of a breach that is likely to affect your rights, we will notify you and the relevant authority without undue delay, and we will explain what happened and what we have done about it. If you believe your information has been compromised through contact with us, please tell us immediately.

15. Your rights

Subject to the law that applies to you, you may have the right to ask what information we hold about you, to ask for a copy, to ask for corrections, to ask for deletion, to ask us to restrict what we do with it, to object to certain processing and to ask for information in a portable format. You may also withdraw consent where consent is the basis for processing.

These rights are not absolute. We may need to keep some information for a legal obligation, or to establish, exercise or defend a legal claim. Where we refuse a request, we will explain the reason and tell you how to challenge the decision.

To exercise a right, write to orders@longyunsheng.autos with enough detail for us to identify you and to understand what you are asking for. We may ask for proof of identity where the request concerns personal information, so that we do not disclose it to the wrong person.

16. Requesting access or correction

A request for access should state the name and contact details we are likely to hold, the period you are asking about and the context, such as an enquiry for a particular part. The more specific the request, the faster we can respond. We aim to acknowledge a request within five working days and to provide a substantive response within thirty days.

If information is inaccurate, tell us what is wrong and what it should say. Where we agree, we will correct it and, if the information was shared with a partner, we will take reasonable steps to inform them. Where we do not agree, we will record your view alongside the record so that the disagreement is visible.

There is normally no charge for a reasonable request. If a request is manifestly unfounded or excessive, for example a series of repetitive requests in a short period, we may refuse it or charge a reasonable fee for the administrative cost. We will explain the reason in either case.

17. Marketing and business contact

We do not run advertising campaigns aimed at individuals and we do not send bulk marketing email. From time to time we may send a short note to an existing contact about a change to the floor, a new capability or a schedule window, but only where there is an existing business relationship and only where the note is relevant to that relationship.

You can ask us to stop sending these notes at any time by replying to the message or by writing to orders@longyunsheng.autos. We will action the request promptly and will keep a minimal record that you have asked not to be contacted, so that we do not repeat the mistake.

A request to stop marketing does not prevent us from contacting you about an order, a quotation you have requested or a delivery that affects you. Those communications are part of the service you asked for.

18. Privacy for Children

This website and the services described on it are intended for businesses and professional buyers. They are not directed at children, and we do not knowingly collect personal information from anyone under the age of sixteen. The enquiry form asks for business contact details and should not be used by a child.

If you believe that a child has sent personal information to us, please contact orders@longyunsheng.autos so that we can remove it. We will delete the information promptly once we are satisfied that it was provided by a child without appropriate involvement of a parent or guardian.

19. Links to other sites

This site may link to the websites of suppliers, industry bodies or other resources that are useful to a customer. Those sites are operated by other organisations and have their own privacy policies. We are not responsible for their content or their handling of information, and a link does not imply that we endorse their practices.

We recommend that you read the privacy policy of any site before providing personal information to it. If you follow a link from this site and are asked for information that seems unrelated to the purpose you expected, stop and check the policy before continuing.

20. Changes to this policy

We review this policy from time to time to make sure it still describes what we actually do. When a change is material, we will update the effective date at the top of the page and, where appropriate, note the change on the homepage for a short period. We will not apply a materially different use of information to information collected before the change without a lawful basis for doing so.

Earlier versions of the policy are kept internally so that we can explain how a particular practice has evolved. If you would like to know what the policy said at the time you sent an enquiry, write to orders@longyunsheng.autos and we will tell you.

Continuing to use the site after a change takes effect means that the updated policy applies to your use of the site. If you do not agree with a change, you can stop using the site and ask us to remove information you previously provided, subject to any legal obligation to keep it.

21. Complaints and questions

If you are unhappy with how we have handled your information, please tell us first. Write to orders@longyunsheng.autos with a description of the issue and the date it arose. We will acknowledge the complaint, investigate it and respond with our findings. Most concerns can be resolved quickly once the facts are clear.

If you are not satisfied with our response, you may complain to the privacy regulator in Hong Kong, the Office of the Privacy Commissioner for Personal Data. If you are located elsewhere, you may have a right to complain to the regulator in your own jurisdiction. We will cooperate with any such investigation.

Complaints about the quality of a part or a delivery are handled as commercial matters rather than privacy matters. Those should be raised with the same email address and will be passed to the person who ran the job.
